HireHawk
Job description
About the role
HireHawk is recruiting a full-time, remote Dental Scheduling Virtual Assistant for a pediatric dental practice in Texas. Candidates from LATAM are welcome to apply. The role is active and proactive: you will work the practice's outstanding patient lists, connect with families and turn follow-up opportunities into booked appointments. You will work Monday to Friday, 8:00 AM to 5:00 PM CST, with direct access to the practice's cloud-based dental software and internet phone system, alongside the practice owner and two front-office coordinators.
Key responsibilities
- Own the daily outreach process for outstanding treatment plans and overdue re-care patients, from report to booked appointment.
- Pull and work outstanding treatment and re-care reports from the practice management system every working day.
- Aim for 40-60 quality outbound calls per day, keeping a warm, patient-focused tone.
- Follow up consistently with patients who do not book on the first attempt.
- Schedule outstanding treatment and re-care appointments accurately according to practice availability and patient needs.
- Use the internet-based phone system so calls appear to come directly from the dental office.
- Maintain a daily activity report and keep outreach lists organized so the practice owner can see progress.
- Take part in regular update meetings with the practice owner and coordinators.
Required profile
- Proven experience scheduling outstanding treatment plans and re-care or recall appointments from practice management reports.
- Track record of turning outbound patient follow-up into booked appointments.
- Confidence making 40-60 quality outbound calls per day and following patients until they book.
- Ability to work full-time Monday to Friday, 8:00 AM-5:00 PM CST, starting as soon as possible.
- Reliable home office with backup internet and power, and willingness to take part in activity monitoring during working hours.
Required skills
- Comfort learning and working independently in cloud-based dental practice management software and internet phone systems.
- Nice to have: experience with Curve Dental Software or another dental practice management platform.
Pay is USD $900-$1,200 per month.
