Marketing Project Manager, Paid Media

About the role

We are seeking a highly organized and proactive Marketing Project Manager to build and run the operating system for our paid media team. You will be the first to design and implement processes that support 25‑30 paid media accounts, ensuring smooth capacity planning, creative workflow, and creator management.

Key responsibilities

• Develop a live capacity planning model for media buyers, designers, and video editors, flagging overloads before deadlines.
• Design, implement, and maintain a cross‑functional creative workflow from request to delivery, coordinating graphic designers, video editors, and media buyers.
• Source, negotiate, and manage relationships with creators and UGC providers across platforms such as Billo and Backstage, handling rates, usage rights, and cost tracking.
• Refine client onboarding processes, including account access collection (Meta Business Manager, Google Ads, Klaviyo, Shopify, TikTok), ClickUp setup, and dashboard configuration.
• Run ClickUp as the single source of truth, creating templates, intake forms, automations, and dashboards for each account.
• Track all creative deliverables, manage revisions and approvals, and perform quality assurance before client delivery.

Required profile

• Strong organizational and proactive mindset with a passion for building scalable processes.
• Comfortable negotiating rates and terms with external creators and managing usage rights.
• Experience in paid media environments and familiarity with cross‑functional team coordination.
• Ability to design and implement operational systems from scratch.
