Marketing Project Manager – Paid Media Operations

About the role

We are seeking a highly organized, proactive Marketing Project Manager to design and run the operating system for our paid media team. You will be the first to own this function, building processes from scratch for a portfolio of 25‑30 accounts that spend $5‑10M monthly across Meta, Google, TikTok and AppLovin.

Key responsibilities

• Develop a live capacity‑planning model for media buyers, designers and video editors, flagging overloads two weeks in advance.
• Create and maintain a end‑to‑end creative workflow, coordinating graphic designers, video editors and media buyers to meet monthly creative volume targets.
• Source, negotiate and manage creators and UGC across platforms such as Billo and Backstage, handling rates, usage rights and cost tracking.
• Refine client onboarding: collect account access, set up ClickUp projects, configure reporting dashboards and ensure consistent launch processes.
• Run ClickUp as the single source of truth, building templates, intake forms, automations and dashboards for each account.
• Track every creative deliverable from request through revisions, performing quality assurance before client delivery.

Required profile

• Strong organizational and proactive mindset with a passion for building scalable processes.
• Comfortable negotiating rates with external creators and managing usage rights.
• Experience working in fast‑paced paid‑media environments handling multiple client accounts.
